Privacy Policy

An inspection puts real information in our hands: your contact details, your property, and what we found there. This policy says plainly what Clarity IAQ & Environmental Consulting, LLC collects, what it is used for, who ever sees it, and what your choices are.
1. What we collect
We collect what the work requires, and nothing aimed at advertising:
- Contact details you provide: name, phone number, email address.
- Property information: the address and details of the building being inspected.
- Inspection records: observations, environmental readings, photographs, sample information and independent laboratory results for your job.
- Booking and inquiry details you send through the site.
- Payment records: amounts, dates and status. Card details are handled by our payment processor and never touch our systems.
- Basic technical logs that keep the site working and secure.
- In the Clarity IAQ app, used by the inspector: photographs and short video of the property, the inspector's own dictated notes (audio), and the inspector's own device location for mileage (section 4). Clients' phones are never used for any of this.
2. How we use it
Your information is used to schedule and perform inspections, produce and deliver your report, communicate with you about your job, take payment, and meet legal and professional record-keeping obligations. We do not sell your information, and we do not use it for third-party advertising.
3. Who it is shared with
We share information only where the service requires it:
- Independent laboratories receive samples and the job information needed to analyze them.
- Our payment processor (Stripe) handles payments; our email provider delivers messages we send you.
- Our infrastructure providers host the application and its database under access controls.
- AI processing providers, used only by the inspector while preparing your report and never for advertising: Replicate (transcribing the inspector's dictated field notes, and suggesting where to mark up inspection photographs), fal.ai (measuring rooms from the inspector's walk-through video frames), and OpenRouter / Anthropic (suggesting report wording from the inspector's own notes). What is sent is the inspector's recording, the photographs of the property, and the notes for the report; these providers process it to return a result and are not permitted to use it to train their models. Google (Routes and Places) receives property addresses to compute driving distance and to complete addresses as they are typed.
- Authorities, if the law requires it.
4. Location data in the Clarity IAQ app
The Clarity IAQ mobile app records the inspector's own location for one purpose: logging business mileage for tax records. It is switched on by the inspector, and while it is on it records with the screen off and the phone in a pocket. It shows a permanent notification the whole time it is running, and it can be switched off at any time from the app or from that notification. It stops when the phone restarts, when the app updates, or when the phone's battery manager stops it, and it does not resume until the inspector opens the app again.
This applies only to the inspector's own device. Clients are never located or tracked, and no client ever sees this data. It is not shared with anyone, not used for advertising, and not sold.
Location points are kept as the supporting record behind a mileage figure, for as long as tax records are retained. The inspector can delete them.
5. Report links
Delivered reports are available through a secure tokenized link. Anyone who has the link can view the report, which is what makes it easy for you to share with a contractor, realtor or insurer. Treat the link like the report itself. If a link needs to be withdrawn, contact us and we will revoke it.
6. How long we keep it
Inspection records are professional records: we retain reports, lab results and related job information for as long as needed to support them, meet legal obligations, and answer questions that arise later about a past inspection. Inquiry details that never become a job are kept only as long as useful for responding to you.
7. How it is protected
The application enforces per-account access controls at the database level; client portal access requires sign-in; report links are unguessable tokens; administrative access is limited to the inspector. No system is perfectly secure, but access is deliberately narrow.
8. Your choices
You can ask what we hold about you, ask for corrections, or ask for deletion of information we are not required to retain as part of a professional record. Contact us by phone or through the site and we will respond directly.
If you have an account (the sign-in that opens your documents at clarityiaq.com/my and in the Clarity IAQ app), you can delete it yourself at any time from that page. What deletion removes and what stays as a professional record is set out at clarityiaq.com/account/delete.
9. Communications
We contact you about your inquiry, booking or job by the contact details you provide. We do not send marketing lists. Reply STOP to any text to stop receiving texts.
10. Children
Our services and website are for adults; we do not knowingly collect information from children.
11. Changes
If this policy changes, the effective date above changes with it. Material changes will be noted on the site.
